With Conference & Event Services (CES) at the University of Minnesota, you’ll enjoy the convenience of working with one dedicated contact to arrange all the services your event needs. From housing and venue reservations to dining plans and parking, we make it simple. Your conference coordinator will guide you through every step of the booking process, ensuring a seamless experience that integrates perfectly into our vibrant campus environment.

How the Booking Process Works:

  1. Submit Your Event Inquiry: Start by submitting an event inquiry form. We’ll gather key details about your event, such as the number of attendees, preferred dates, and any specific needs for housing, venues, dining, and parking.
  2. Finding the Perfect Fit: After we’ve received the necessary information, we’ll work to find the best accommodations and event spaces that align with your group’s needs and preferences.
  3. Receive a Personalized Quote: Once we’ve identified the best options, we’ll send you a quote outlining the services and associated costs.
  4. Review and Approval: After reviewing the quote, you’ll approve it or ask for adjustments. We’re here to make sure everything fits your vision.
  5. Contracting: Once the quote is approved, we’ll finalize your event details with a comprehensive contract. This contract will cover all services—from lodging and campus spaces to dining, catering, parking, and more—ensuring everything is clearly outlined and ready for your event.

Our comprehensive contract covers all the services you’ll receive from the University, providing a clear and straightforward way to manage your event. Plus, we offer a single itemized bill for all services and facilities, streamlining the billing process and ensuring complete transparency.

Please note: Housing is a prerequisite for eligibility under our contract, so securing accommodations for your group is essential.

Housing Options

All of our summer guests are accommodated in traditional residence halls, offering a comfortable and convenient stay. Each guest has access to study rooms, common area lounges, and one of the nation’s fastest wireless internet networks. For leisure, game rooms are available, as well as community kitchenette spaces for preparing light meals and snacks. Laundry services are complimentary, and all utilities are included in your stay.

Gender-specific and gender-neutral shared bathrooms are available on each floor, providing flexibility for all guests.

Our rooms are air-conditioned and come furnished with a twin XL bed, desk, chair, closet, and dresser. A linen package, including towels, sheets, a blanket, and a pillow, is provided at check-in for your convenience.

Parking

CES offers discounted parking for groups that partner with us. By contracting parking through CES, you’ll enjoy a discount and unlimited in-and-out access.

Dining

M. Food Co. at the University of Minnesota offers a variety of dining options, including meal plans for residential restaurants, catering, and campus restaurants. Your contract can be customized to include specific meals (breakfast, lunch, or dinner) to fit within your camp or conference schedule.

There are flexible meal plans that can accommodate dietary restrictions, including vegetarian, vegan, and gluten-free options. If your group has specific needs, we’ll help tailor meal plans to ensure a great dining experience for everyone.

The University of Minnesota Twin Cities campus is located across Minneapolis and St. Paul, and offers state-of-the-art meeting spaces, classrooms, and athletic facilities, as well as easy access to the activities and events taking place in the bustling metropolitan area.

The University campus boasts indoor and outdoor venues of all sizes – from intimate spaces to large venues. The sheer variety ensures you will find something that fits your event along with dining services, accessibility options, audio-visual capabilities, and technology support.

Discover the perfect meeting space at the 17th Ave Residence Hall at the University of Minnesota. Designed for companies, organizations, and University departments—not private parties—this versatile room combines functionality and comfort to ensure a productive experience. Key features include a private entrance, outdoor patio, kitchenette, single-user bathroom, projector, flexible seating arrangements, and proximity to the 4th Street Parking Ramp. With a capacity of up to 75 people, this space is ideal for smaller gatherings and offers everything you need to host a seamless and successful event.

Safety

At the University of Minnesota, safety is a top priority in our campus housing. We employ a comprehensive and layered approach, including locked entrances, turnstile access points, surveillance cameras, and courtesy phones for easy communication. Our buildings are equipped with bathroom locks, emergency exit doors, and dedicated staff for support. In addition, students and guests are encouraged to use campus-wide safety services like 624-WALK, Gopher Chauffeur, and the Rave Guardian app. Everyone plays a role in maintaining a safe environment.
